Role Purpose

This role provides essential administrative and clerical support to the Occupational Health and Safety (OHS) project team. The successful candidate will be responsible for data management, correspondence, and general office coordination to ensure the smooth running of health and safety projects within the department.

Requirements & Qualifications

  • Education: * Minimum: National Senior Certificate (Matric / Grade 12).

    • Added Advantage: A Diploma (NQF Level 6) in Office Management, Public Administration, or Management.

  • Knowledge: * Understanding of clerical duties, practices, and statistics collection.

    • Familiarity with the legislative framework governing the South African Public Service.

  • Skills: * Proficiency in Microsoft Office (Word, Excel, and Outlook).

    • Strong organizational and problem-solving skills.

    • Ability to maintain high levels of confidentiality and ethical standards.

    • Ability to work under pressure and within a team.

Key Responsibilities

  • Data & Records: Record, organize, capture, and retrieve correspondence and project data.

  • Registers: Update incoming and outgoing registers and maintain accurate filing systems.

  • General Admin: Handle routine inquiries, scan/photocopy documents, and type official correspondence.

  • Procurement: Liaise with stakeholders for the procurement of goods/services, obtain quotations, and maintain stock control of stationery.

  • HR Support: Maintain leave registers, attendance records, and personnel files for the component.

  • Financial Admin: Capture expenditure and check the correctness of subsistence and travel (S&T) claims.
